What does the working-time record template include?

It is a free Excel file with a monthly record sheet per person: header with company, tax ID, site and employee; one row per day with start and end time in one or two blocks; calculated hours worked and overtime; monthly total and signature boxes. It covers the data required by article 34.9 of the Spanish Workers' Statute. The file itself is in Spanish, as the record is kept in Spain.

What's inside

  • "Registro mensual" sheet: dates and weekdays of the month you choose, filled in automatically.
  • Start and end in two blocks for split shifts; night shifts past midnight are calculated correctly.
  • Hours worked per day, overtime over the agreed daily hours and monthly totals.
  • Signature boxes for the company and the employee, and an A4 print-ready layout.
  • "Instrucciones" sheet with what the law requires and the limits of keeping the record in Excel.

How to use it in 4 steps

  1. Duplicate the "Registro mensual" sheet for each person.
  2. Fill in the header: company, tax ID, site, employee, ID number, agreed daily hours and day 1 of the month.
  3. Each day, enter the start and end time (for example 08:30). For split shifts, use the second block.
  4. At the end of the month, company and employee sign and you keep the file: it must be kept for four years.

What the law requires

  • Record every day the specific start and end time of each employee's working day (art. 34.9 of the Spanish Workers' Statute, introduced by Royal Decree-law 8/2019).
  • Keep the records for four years.
  • Make them available to employees, their legal representatives and the Labour Inspectorate.

We explain it in more detail in our guide to Royal Decree-law 8/2019

Guidance template. Your collective agreement may set how the record is organised or how overtime is counted.

The limits of keeping it in Excel

  • It can be changed afterwards with no trace of who changed what or when.
  • It relies on someone filling it in every day; if it is completed at month end, it no longer reflects actual hours.
  • You have to store, organise and find four years of files per person.

If your team grows or you want records that cannot be altered without a trace, time tracking software solves it. Power Time is ours: clock-in from the phone, export for the Labour Inspectorate and leave management, from €2.50 + VAT per user per month billed annually.

Frequently asked questions

Does this template make me compliant with the working-time record?

The template covers the data required by article 34.9 of the Spanish Workers' Statute: start and end of each person's working day, every day. To comply you also need to fill it in daily, keep it for four years and make it available to employees, their representatives and the Labour Inspectorate.

Do I have to give my email to download it?

No. The download is direct and we do not ask for any data.

Does it work in Numbers or Google Sheets?

We have tested it in Microsoft Excel and Numbers, and both calculate hours, overtime and totals. Google Sheets and LibreOffice open .xlsx files, but we have not tested it in them.

How does it calculate overtime?

Each day it subtracts the agreed hours you enter in the header from the hours worked. On rest days worked and for part-time contracts (where the excess counts as complementary hours) that column does not apply; if your collective agreement counts overtime per week or per year, use it only as a reference and check the calculation with your adviser.

How long do I have to keep the records?

Four years, under article 34.9 of the Spanish Workers' Statute.

Would you rather the record kept itself?

With Power Time everyone clocks in from their phone and the inspection export is ready. Try it free for 14 days; we ask for a card at sign-up.
